A Dutch ice cream wholesaler contacted us to arrange the shipment of their products from Hebei and Yingkou, China, to the Netherlands. Previously, the client had relied on sea freight, which resulted in significant cargo damage due to the excessive number of transshipment points and the risk of power outages along the route. Ice cream is extremely temperature-sensitive; even a deviation from the required temperature (-18°C) for just a few hours—followed by rapid reheating—can alter the product's physical structure and render it unsellable. Consequently, the client decided to test land transport to evaluate its cost-effectiveness. The primary operational challenges lay in maintaining the cold chain and managing transit formalities.


Exporting food products requires a comprehensive set of documents, including certificates of origin, product inspection reports, and sanitary, veterinary, and public health certificates. The transport route traversed several countries, including Kazakhstan, Russia, Belarus, Poland, and Germany. Given the temperature sensitivity of the goods, all loading and unloading operations had to be performed rapidly and in strict compliance with temperature regulations.


For transshipment, we utilized a specialized refrigerated warehouse at the Alashankou border crossing, ensuring the integrity of the cold chain from the very beginning. During the transit through Belarus, we employed a specialized transport method—swapping only the tractor unit—to minimize environmental impact.


Furthermore, to prevent potential disputes regarding cargo damage, we established specific risk management standards for the client. We videotaped the entire loading process to document that the goods were in perfect condition at the time of shipment. We also implemented a protocol requiring that, should any thawing or damage be discovered upon opening the container, a damage report be jointly signed on-site by the driver, the consignee, and an insurance company representative. Video footage was retained to facilitate the smooth processing of any insurance claims.


The shipment was successfully and safely delivered to the consignee; the journey took 26 days at a total cost of $23,354.
